Temporary Manager of Collections & Exhibitions | Registrar (Parental Leave Replacement)

This position is a part time position in the gallery, working no more than 20 hours per week.
Salary is commensurate with experience (~ $45 per hour)
Position Summary:
Reporting to the Gallery Director, the Temporary Manager of Collections and Exhibitions oversees and coordinates the full range of collections management (registrarial) activities, including but not limited to processing and recording inventory, storage, location tracking, packing and transport, condition reporting, both in storage and exhibition spaces; and, organizes all non-curatorial elements of art fairs and exhibitions including applications, documentation, packing and shipping, and installation/de-installation activities. They are also responsible for maintaining comprehensive and up-to-date object records and images in ArtBase and on the shared server. They also support the finance department with invoices.
Responsibilities include:
INVENTORY MANAGEMENT
§ Safeguard objects by ensuring professional packing, shipping and domestic and international transport (verify condition of objects at arrival and departure);
§ Shipping experience strongly preferred, as well as best practices;
§ Create and maintain shipping and installation calendars;
§ Consolidate deliveries for cost savings;
§ Ensure that objects are in a ready-to-view condition (i.e. restored, conserved in good condition, accessible, photographed, well-installed and lit);
§ Verify that invoices are in line with estimates;
§ Identify costs that can be passed on to clients and designers;
§ Ensure that staff and shippers understand how to handle objects;
§ Review and implement procedures for loans/works on approval for design firms, galleries, and cultural institutions;
§ Arrange viewings for clients at gallery and offsite premises.
INFORMATION MANAGEMENT
§ Continually update all inventory records in ArtBase, including locations, new photography, conditions of consignment, loan forms, shipping records including bills of lading, relevant research, provenance, exhibition histories, historical references and literature;
§ Send weekly gallery traffic reports on the status of inventory movements (sold or in restoration);
§ Coordinate with Partners to organize photography of works including the documentation of gallery and art fair installations;
§ Ensure newly acquired inventory and costs of goods are recorded in a timely manner.
EXHIBITIONS AND ART FAIRS
§ Oversee all aspects of art fair participation and exhibitions including applications, insurance coverage, logistics, associated vendors, domestic and international shipping and packing, and manage deadlines for all staff and contractors;
§ Compile all required vetting documentation and ensure compliance with current fair requirements;
§ Gather cost estimates and work with Controller and Partner to reduce annual art fairs and exhibitions costs;
§ Provide object checklists for all exhibitions and fairs and ensure pieces are in ready condition;
§ Manage Preparator and all other production vendors; Order all necessary materials;
§ Oversee and assist with physical installations;
§ Help plan openings, book and coordinate vendors, and obtain all necessary supplies.
FACILITIES AND EQUIPMENT
§ Ensure gallery is prepared so that viewings can take place in a professional manner, oversee cleaning service;
§ Act as the point person in communication with ADT, our security and fire detection service, responsible for ensuring that protocols are followed to prevent unwarranted alarms;
§ Maintain gallery, back office and basements spaces, and maintain good communication with building management;
§ Oversee maintenance of general office organization.
FINANCE
§ Code and submits all invoices related to above areas to Accounts Payable; including advising on payment priorities for cashflow;
§ Submit and follow up on payables due to consignors upon receipt of payment for sold objects, including creating consignor statements and tracking payable payment statuses;
§ Provide various cost and sales reports upon request;
§ Raise and submit invoices for particular clients or partner galleries, and upon request;
§ Compile and submit all insurance claim related documentation.

Requirements:
3+ years experience as a Registrar in a high-end gallery, museum, or shipping company.
Knowledge and experience of “best practices” of digital archive management.
Excellent ArtBase, MS Office proficiency is required.
