PURPOSE: To provide administrative support to the Opera Center, working closely with the General Manager, Artistic Director and Adler Fellows.

EDUCATION:

Bachelor’s degree from an accredited college or university (preferred) or equivalent work experience

EXPERIENCE:

Minimum two (2) years increasingly responsible general administrative work, opera production or artistic administrative experience highly preferred

Responsibilities
  • Serves as assistant to General Manager and Artistic Director of the San Francisco Opera Center.

  • Administers, contracts, and schedules Opera Center events.

  • Prepares and submits payroll and expenses on behalf of the Opera Center to the Finance Department.

  • Liaises with Finance to request checks, wires, and payments for Adler Fellows, Opera Center staff and guest faculty.

  • Performs duties to ensure the timely payments for the Adler Fellow’s insurance, working dues and retirement benefits.

  • Coordinates travel and housing for visiting Opera Center personnel, working with Artist Services Coordinator.

  • Assists Artist Services Coordinator with visa research and preparation for training visas for Adler Fellows and Merola Opera Program Artists, as well as visas for guest faculty.

  • Coordinates multiple aspects of Opera Center performances including venue coordination, vendor relations, transportation, housing and per-diem arrangements.

  • Serves as primary staff representative accompanying Opera Center engagements.

  • Assists with coordinating Adler auditions for visiting guests.

  • Works with Box Office Manager to coordinate tickets for all Opera Center productions, including Merola.

  • Acts as production manager for the Schwabacher Debut Recital

SECONDARY FUNCTIONS:

  • Coordinates with Communications for Opera Center webpages.

  • Performs other job-related duties as assigned.

EQUIPMENT OR MACHINES, IF ANY, THAT MUST BE OPERATED TO PERFORM THE POSITION ACCEPTABLY: Computer, printer, copier, telephone and other general office equipment and machines.

WORKING CONDITIONS: Indoors with temperature and noise levels typical of this environment

Requirements
  • Knowledge of operatic repertoire or performing arts/theatrical production preferred

  • Ability to prioritize diverse and multiple tasks, maintaining flexibility and attention to detail

  • Outstanding communication, both written and verbal, and organizational skills

  • Ability to effectively and accurately plan, organize, and coordinate people and events

  • Proficiency in Microsoft Office applications with special expertise in Excel desired

  • Ability to work independently and as a member of a team and exercise initiative

  • Ability to thrive in a fast-paced, rapidly changing environment

  • Outstanding interpersonal skills including the ability to interact with all staff, artists, the public, and volunteers in a professional, confidential and tactful manner

  • Must maintain a high level of confidentiality

  • Must perform the functions of the position in a safe manner

  • Position requires occasional evening and weekend obligations
