The Operations Coordinator is responsible for organizing and overseeing day-to-day operations at the Washington, DC, facility. This role serves as a central operational link between account managers, warehouse staff, field technicians, and cross-office leadership. The position supports projects from estimate through execution, ensuring accurate information flow, efficient logistics, and timely client response.
This is a fully in-person role requiring daily presence in the DC office and active, face-to-face collaboration with staff.
Core Responsibilities
Oversee daily operational workflow at the DC facility
Support Account Managers with preparing and issuing estimates quickly and accurately
Assist with responding to client inquiries and working through project logistics and scheduling
Ensure accurate information is distributed and utilized across teams
Coordinate closely with warehouse staff and field technicians to support execution
Track project details to ensure alignment between office planning and field activity
Communicate regularly with General Managers and Logistics Coordinators across all Maquette offices
Support cross-office coordination to maintain consistency across the Maquette ecosystem
Identify operational gaps or inefficiencies and communicate them to management
Maintain a team-first, collaborative working environment
Required Knowledge & Experience
Strong working knowledge of fine art logistics
Experience in field-based logistics, office-based coordination, or project organization
Experience working with museums, galleries, collectors, or similar institutions
Understanding of fine art handling standards, packing, transport, and installation workflows
Strong organizational and communication skills
Ability to manage multiple active projects simultaneously
Comfortable working in a fast-paced, operations-driven environment
