Minnesota Street Project Art Services provides a comprehensive, concierge-based art collection management service to private collectors, galleries, and institutions. Adhering to the best art handling practices, we package, install, transport, inventory, and store artwork in conformance with museum standards, with 100% of our profits going to supporting and sustaining Bay Area arts and culture. Our 50,000 ft2 storage facility located in San Francisco, CA, features state-of the art environmental-control and security systems, as well as an attractive viewing room and photography facility.

Minnesota Street Project is seeking a full-time Warehouse Coordinator to join our team of arts professionals.

Responsibilities
  • Exhibits a friendly and approachable demeanor with all Minnesota Street Project clients, staff, and vendors, acting as a positive ambassador for Art Services, as well as the overall Project; maintains excellent relationships with clientele and vendors, including collectors, galleries, institutions, consultants, and other arts professionals, ensuring industry-leading client satisfaction; ensures strong communication is facilitated and deadlines are continually met.

  • Manages the daily scheduling utilization of hourly warehouse employees to maximized capacity and efficiency, ensuring jobs are completed in a timely manner and within budget; strategically populates warehouse calendar with appropriate resources.

  • Schedules delivery receipts and releases for two (2) warehouse locations through our CRM on behalf of clients, coordinating dock availability with 3rd party shippers.

  • Acts as warehouse scheduling point-person, helping other departments to remain focused on time-sensitive operations; explains job expectations to warehouse teams throughout the day, proactively gauging and resolving scheduling concerns; prepares warehouse teams for additional duties/redirection of tasks, and ensures all artworks are properly staged in advance of next day releases.

  • Produces all bills of lading (BOLs) to transfer client property, as well as in-house work orders (WOs) for both client-related and non-client-related jobs, through our CRM; reviews paperwork daily to check for detailed accuracy; sources and secures necessary artwork release authorizations and keeps track of annual vendor COI expirations for renewal.

  • Collaborates daily with Field Dispatcher to finalize overlapping logistics such as field job extensions into the warehouse and preparedness of artworks for the field, as well as schedule internal works orders (facilities-related tasks, meetings, trainings, etc.), working to secure availability in a timely manner.

  • Updates Registration regularly with applicable information for long-term storage receipts and collection releases.

  • Coordinates national and international shipping on behalf of target clients, providing estimates to clients; expedites and tracks orders placed with 3rd party vendors; ensures project management charge completeness and closes out shipping coordination billing through our CRM.

  • Assists in ensuring heightened warehouse quality control, suggesting policy or training recommendations for maximized efficiency.

  • Administers hourly warehouse team employee time off requests, keeping calendar availability banners up to date at all times; relays requests to Operations Manager to ensure ultimate congruence with timesheets approvals.

  • Attends weekly department meetings, as well as occasional programming events at 1275 Minnesota Street.

  • Performs other related duties as required.

Reports to Operations Manager

Requirements
  • Minimum 2 years’ experience in an art shipping organization or museum; must have first-hand warehouse and/or field work knowledge.

  • Ability to quickly identify and resolve problems, effectively prioritize, and manage time efficiently, ensuring projects stay on schedule; adept at scheduling strategically and to maximized utilization.

  • Demonstrated concern for detail, accuracy and precise execution of work; excellent communication skills, both verbally and written.

  • Proficient with PC and Mac operating systems and software, including Adobe and Microsoft Suites and Filemaker Pro; knowledgeable with the G Suite and CRMs.
